Licensing and pricing

How Licensing Works.

This page explains how licensing works for WorkforceVision Power BI visuals. Most organisations purchase per-user licences through Microsoft Marketplace and assign them in the Microsoft 365 admin centre. A WorkforceVision Site Licence is intended primarily for organisations with 2,000 or more users, or for enterprises that cannot purchase through Marketplace because of restrictions such as Microsoft GCC.

Licensing Requirements

For Microsoft Marketplace licensing, a licence must be assigned to all users of the visual, including developers in Power BI Desktop and viewers or users in Power BI Service. Licences are not feature specific; they are required for visual use. This includes all visual users irrespective of their Power BI licence type. Organisations using a Site Licence do not assign per-user licences.

This section covers per-user licensing purchased through Microsoft Marketplace. The estimator and examples use Microsoft’s published US dollar list rates. They do not apply to a WorkforceVision Site Licence.

1. Where and how to purchase licences

Marketplace licence purchases are managed directly by Microsoft through Microsoft Marketplace. To compare quotes or purchase per-user licences:

  1. Go to the Marketplace listing: Org Chart Drag and Drop
  2. Select “Buy Now”.
  3. Choose the plan that matches the number of licences you need.
  4. Select monthly or annual billing.
  5. Follow the checkout process until the Payment section to see the total cost.

Several plans are available based on licence count, such as 1–9, 10–199, 200–499, 500–1199, and higher tiers. Larger tiers provide a more cost-effective price per licence, and annual billing generally offers the best value.

In many cases, selecting a larger plan than your exact user count can reduce overall cost and provide flexibility for future growth.

Enter how many users need a licence. The tool compares Microsoft’s published US dollar list rates by plan (per licence per month or per year) and suggests a plan and purchase quantity. Larger plans have lower per-licence rates but may require a minimum number of licences, so buying more licences can cost less overall.

Billing
Not a quote. Taxes, currency, discounts, and Microsoft account settings can change what you pay. To compare Marketplace pricing across plans:

  • Click “Buy Now” on the Marketplace listing.
  • Select a plan and proceed to the Payment step.
  • Compare monthly versus annual totals before confirming the purchase.

WorkforceVision Site Licence

For organisations in those situations, WorkforceVision offers a Site Licence for Org Chart Drag & Drop instead of managing individual Marketplace licences.

A Site Licence provides organisation-wide access to the visual under a single annual licence, removing the need to purchase, assign or manage licences for individual users.

How it works

Once purchased, WorkforceVision provides your organisation with a licence key. This key is entered into the Org Chart Drag & Drop visual and can be used across your organisation’s Power BI reports and workspaces.

The Site Licence covers all users within the licensed organisation, including both report creators and viewers.

Why choose a Site Licence?

  • Organisation-wide licensing — no need to licence individual users.
  • Unlimited users within the licensed organisation.
  • Simple deployment using a WorkforceVision licence key.
  • No Microsoft 365 licence assignment or group management required.
  • Intended primarily for organisations with 2,000 or more users, where per-user licensing is difficult to administer.
  • Alternative to Microsoft Marketplace purchasing for enterprises with Marketplace restrictions, including Microsoft GCC and other government or restricted Microsoft cloud environments.

Site Licence pricing is provided directly by WorkforceVision and may vary depending on the organisation and licensing requirements.

For deployments of around 2,000 users or more, or if Marketplace purchasing is not available in your environment (for example Microsoft GCC), please contact us for a Site Licence quote.

Managing Microsoft Marketplace licences

The following sections apply to per-user licences purchased through Microsoft Marketplace. They do not apply to a WorkforceVision Site Licence.

2. How licence assignment works

When licences are purchased under your organisation’s billing account, your company receives that number of licences which can be assigned to users or groups via the Microsoft 365 admin centre.

If you purchase 10 licences on the “WorkforceVision Org Chart (10–199 Licenses)” plan, your organisation will receive 10 assignable licences.

  • Licences are owned by the organisation, not individual users.
  • Licences can be assigned to users or groups.
  • Licences can be reassigned if an employee leaves.

Existing automated Microsoft licence assignment processes can usually be extended to include WorkforceVision Org Chart licences.

3. How licences are used in Power BI

Once a user has a licence assigned:

  • The visual can be used in any workspace within the tenant.
  • The visual can be used across multiple reports and dashboards without limit.

Important points:

  • Licences are assigned to users, not workspaces.
  • Licensed users can access the visual in any workspace they have permission to access.

4. Tenants & sharing

  • Licences cannot be shared across tenants.
  • Licences are restricted to the purchasing organisation’s tenant.

External collaborators or clients must hold licences within their own tenant to develop or extensively use the visual.

5. Changing plans & purchasing additional licences

5.1 Increasing your licence count

If you require more licences and move into a higher tier, the recommended approach is to cancel the existing plan and purchase a new one.

  1. Cancel the existing plan in the Microsoft 365 admin centre
  2. Purchase a new plan at the higher tier through Marketplace.

Plans cannot usually be amended once active, and higher tiers are often more cost-effective.

Example: An organisation with 250 licences on the 200–499 tier requiring 270 licences should move to the 500–1199 tier rather than topping up within the lower tier.

5.2 Cancelling and starting a new plan

  • Plans cannot usually be amended once started.
  • Changing tiers requires cancelling and starting a new plan.
  • Auto-renewal is based on the plan start date.
  • There is no cancellation fee.
  • You may cancel and start a new plan on the same day.

6. What happens if you run out of licences?

  • Additional licences are not automatically purchased by default.
  • Unlicensed users may see a message prompting them to request or purchase a licence.
  • This does not usually trigger an automatic purchase.

Confirm licence behaviour with your IT or licensing team if unsure.

7. Large purchases & private plans

For large licence purchases, private plans may be available at reduced rates. A Site Licence is intended primarily for 2,000+ users, or for enterprises with Marketplace restrictions such as GCC.

8. Tax Exemptions

All purchases are processed by Microsoft through Marketplace. Tax exemptions must be applied at the Microsoft billing account level.

How do we buy licences?

Which countries/regions are currently covered?

Who owns the licences?
Licences are owned by the organisation and managed by the IT or admin team.

Can one licence cover multiple users?
Marketplace licences are per user. A Site Licence covers all users within the licensed organisation.

Are licences tied to a workspace?
No. Licences are assigned to users.

Can licences be shared across tenants?
No.

Can we change our plan mid-term?
Plans must be cancelled and replaced with a new plan. There is no cancellation fee.

Will the system automatically buy more licences if we run out?
No. Unless explicitly configured, licences are not auto-purchased.
